How to make a clean, transparent signature image for forms and documents

Photograph your signature, remove the paper background, crop it and save it as a transparent PNG or a small JPG that fits an online form's size limit.

Application forms, job portals and exam websites often ask you to upload “a scanned copy of your signature”, usually as a small JPG with strict size and dimensions. Documents and letters look better with a clean signature that does not carry a grey box of paper around it. Both need the same starting point: a good picture of your signature. Here is how to take one and turn it into exactly the file you need.

Take a good photo of the signature

The quality of the result depends mostly on this step, so spend a minute on it:

  • Plain white paper. Printer paper is ideal. Lined or coloured paper adds marks that are hard to remove.
  • A dark pen with a clear line. A black or dark blue gel or ball pen works well. Thin pencil or pale ink will fade out.
  • Good, even light. Near a window in daytime is best. Avoid casting your own shadow on the page and avoid flash glare.
  • Camera straight above the page, so the signature is not stretched or slanted.
  • Leave some empty paper around it. The tool will crop to the ink for you.

Clean it up

  1. Open the Signature Maker and upload your photo. HEIC pictures from an iPhone are fine.
  2. Look at the preview. The tool removes the paper background and crops closely around the ink.
  3. Adjust Remove the paper background. Raise it if grey marks remain; lower it if thin parts of the signature start to disappear.
  4. Choose the ink colour: keep your own ink, or make it solid black or blue.

Save it in the right format

A transparent PNG

For letters, Word documents and PDFs, choose PNG. The background stays transparent, so the signature sits cleanly on top of the page, even over a coloured area or a stamp. Set the width you want, for example 800 px, and the space around the ink.

A small JPG for a form

Forms rarely accept PNG and do not understand transparency. Choose JPG, which puts the signature on a white background. Then:

  1. Enter the width the form asks for, in pixels. A common request is something like 140 × 60 or 200 × 80, so match the shape with the width and the space around it.
  2. Tick Keep the file under a size limit and enter the maximum, such as 20 KB. The tool lowers the quality only as much as needed.
  3. Download and check the preview once more. Aim a little under the limit, because sites count kilobytes slightly differently.

Keeping it safe

A transparent signature image is easy to copy and paste into other documents, so treat it like any personal credential. Do not leave it in shared folders, and delete versions you no longer need.
